Steering Committee 22nd Meeting - July 11, 2011
Treasury balance is $21,833.26.  Maxine noted that 160 classmates have paid for the Saturday night dinner (36 more have registered but not yet paid.)   She also noted there are 17 paid registrations that do not include the dinner.

Committee Reports

Registration & Welcome Packs
Mitzi reported on decorations for hotel lobby for the Welcome Registration afternoon.  Balloons will be shared with other events.  Name badges and bags are on order.  Maps to venues will be finalized just before the event due to road construction near the hotel. 

Communications
Kay reported that the newsletter went out end of June.  The headline reminded classmates to register.  Suggestions were made to send an email blast to re-remind and also include Memory Book ordering details.

Finance & Budget
So far expenses and revenues are as expected.

Friday & Saturday Night Coordination  (decorations, entertainment, arrangements with venues, etc)
Saturday 
Rick shared a draft of a program he is proposing that would acknowledge donors and those who worked on the reunion.   SC endorsed this idea.  Rick and Kay will work together to perfect the program.  SC members were asked to read the draft carefully and get any additions or corrections to Rick.
Bruce Humphrys will be the emcee at the dinner.
Maxine shared a new centerpiece/dessert idea.
David continues to pursue a fun idea.
Friday
Geri reported on a meeting with Phil at Park Tavern to finalize food (appetizer type fare), bar and facilities – outside area, bowling alleys and darts will be available for us.

Events
Judie shared a report from Jane regarding a few event details that have been finalized.  She also mentioned that hotel rooms are still available at the $69 rate until August 4.  She will be contacting all event coordinators on July 11 reminding them to finalize plans and communicate them to her. Jane asked that FINAL event attendance counts be to event coordinators by August 19 (SC changed that date to August 12).   She also asked that Maxine let coordinators know how they can be reimbursed for expenses.

Memorial Event
Lorilee reported that she has music and speakers for the event.  She has asked SC to bring/share chairs or blankets for people to sit on at Oak Hill Park.
   
Memory Book
          Rick reported that according to his information 30-40 books have been sold.  SC suggested a reminder to purchase be included in the email blast.

Classmate Search
Rosemary reported that as of today we have -

Minutes
The minutes from May 9 were corrected as follows:   During the discussion of the Welcome Packs David offered complimentary coupons to the Spin Art concession at the Sate Fair to be available at the Welcome Table for anyone planning to attend the Fair.  

Treasury balance is $16,079.65.  Maxine noted that there are 121 registrations for the reunion, 77 of which are paid.

Committee Reports

Communications
It was agreed that an email blast and newsletter should go out at the end of the month reminding classmates to register and that registration fees go up on July 15.

Registration & Welcome Packs
Mitzi reported that name tags and maps to venues will be available to classmates at the Welcome Desk. It was suggested that directions in and out of the hotel also be available and updated just before the reunion due to the ongoing construction in the area.  There will also be some inexpensive decorations on and around the table.

Finance & Budget
Rick read off the fixed budgeted expenses developed a few months ago.  He also noted that most people are opting for the $79.00 package, which could affect our projected budgets.

Saturday
The Venue Committee and Rick London met with Nicole at the Minikahda Club.   Menus, timelines, engineering/housekeeping/set up and billing information have been finalized. 
Maxine reported the committee has changed our dessert from cakes to cupcakes and is working on the presentation and ordering.   Plans for table decorations are developing.
Content and timelines of the entertainment/program were also discussed.
Friday
Committee members also met with people at the Park Tavern to finalize food and set up.  We will have access to an outdoor area.  Appetizers, bowling, darts, and pool tables will be available. 

Events
Judie shared a communication from Jane Johnson on the status of the Welcome Reception, Pep Fest, and Golf events.  Anyone interested in the Golf event is encouraged to sign-up.  The more the merrier.   Plans are developing and on track time wise for all events.  Lots of fun things are planned.

Scholarship Winners
Leslie shared a communication from Margo regarding the recipients of our Soopersilledgical Scholarships that were awarded at SLP High School this spring.  They are Robert Seltzer-Schultz and Leigha Sledge.  Robert is a National Merit Scholar finalist and an AP Scholar award winner.  He is an active and dedicated volunteer in the local community.  Leigha, fluent in Spanish and a respected student leader, plans to pursue a Masters Degree in architecture.  The entire Reunion Committee thanks all our donors who supported our scholarship program.  We hope to meet Robert and Leigha at our Pep Fest on August 26.

Memory Book
Bonnie reported the committee is compiling profiles from the web site for the memory book.   SC approved list of donors and scholarship recipients to be included in the book. 
The book will go to press about August 1. 

Classmate Search
No report.

New Business
Judie suggested meeting twice in August to insure that everything is in place for our weekend.   SC agreed.  Future meetings will be July 11, August 8 and August 22.

Steering Committee Twentieth Meeting - May 9, 2011
Treasury balance is $13,718.18.  Maxine noted that there are 40 paid registrations for the reunion.   She also noted that many have not indicated a meal preference.  There was  discussion about a reminder notification to go out in late June and what form that should take.  Discussion was tabled until the June meeting.

Committee Reports

Friday & Saturday Night Coordination  (decorations, entertainment, arrangements with venues, etc)
Geri asked for clarification of committee members.  They are Georg, Ann, Maxine and Kaye Pullen Campbell.  They will meet with Nicole at Minikahda before the June SC meeting.  Rick will also meet with her regarding audiovisual equipment.  Geri will double check prices with Park Tavern.  
Judie, David and Lorilee are working on some surprises. 
Georgean shared some ideas for decorations.  SC suggested that she and the committee decide.

Registration & Welcome Packs
Rick presented name-tags.  SC made a suggestion regarding the guest’s tag that he will work on.
Mitzi, Judie, Kay, Leslie and Ann are meeting regularly to develop the materials to be handed out on August 25.

Memory Book
Bonnie reported that the cover of the book will be color and glossy.  She expressed concern regarding getting profiles on the website by the end of May so they can be included in the book.  We also need a notice on the website regarding ordering of books.  It was suggested that a blast email or possibly even a mailing should go out regarding ordering and paying for books.   SC set a deadline of July 15 for ordering and paying for books to be picked up at the reunion.


Communications
Kay reported that the May newsletter is out.  There will probably be one more mid-late June. 

Classmate Search
Revised numbers are:  378 confirmed, 24 presumed confirmed (previously “unconfirmed”) 64 missing and 48 deceased.

Events
Judie shared an email from Jane Johnson Rollins.  She is contacting event chairs to confirm plans.  She noted the number of registrations so far and is estimating there will be a surge of registrations mid June.  She is wondering if we will want a larger boat for the Minnetonka cruise.  SC tabled that decision until more registrations are in.

Steering Committee Nineteenth Meeting - April 11, 2011
Minutes from
There were two corrections to the minutes of the March 7th meeting.  The spelling of Bonnie Tenhoff Roitenberg’s last name was corrected.   The resource person for the Memory Book is from the St. Louis Park Class of 1960 – not the Edina Class of 1960.

Treasury balance is $12,139.13.  Maxine shared the spreadsheet developed to track registrations and money paid.  Maxine also noted that the best way for committee members to be reimbursed for expenses is to email her at jimnmax@aol.com and she will send a check.

Committee Reports

Registration & Welcome Packs
Kay reported that registrations have been mailed to all confirmed and unconfirmed classmates.  One has been returned as undeliverable.  It was noted that the registration process on line has not and probably cannot be streamlined.  Judie shared an email from Kathy Buresh Takacs complimenting the SC on the registration materials.           
Mitzi shared samples of name badges Rick has developed and badge holders.  SC approved the purchase of the assembled and adjustable badge holder.  There were comments regarding the name badges that the committee will consider when making a decision at their next meeting.

Memory Book
After meeting with Jerry Shink, Bonnie shared a sample of what the memory book may look like.  The cover will be in color using art from the 1961 Echowan.  Profiles from the web site will be printed in black and white.  There will be 200 books printed.  They will have 200 pages, 4 inside color pages (content to be determined), on glossy stock with a spiral back.  The committee will need all material that is to be included in the book by May 31 to assemble.  Jerry needs two weeks for printing.  Discussion centered on the importance of alerting classmates to get profiles on the website (a “newsflash” email to all, inclusion in the May newsletter, something on the website); ordering process; where and when books would be available; mailing & postage.  Bonnie will talk to Rick about getting a notice on the website regarding the availability of a memory book.


Communications
Kay reported that an email went out to all classmates to alert them to the coming registration materials.  She asked for items for the May newsletter.  SC suggested a plea for classmates to get their profiles on the website in May so they can be included in the Memory Book.  Perhaps a newsflash email should go out now??

Finance & Budget
Budgets are still needed for the Welcome Packages and Deceased Classmates Remembrance.

Classmate Search
Revised numbers are:  363 confirmed, 32 unconfirmed, 75 missing and 44 deceased.  Registration materials were sent to all confirmed and unconfirmed classmates.

Saturday Night Program
Judie reported that Bruce Humphrys might not be available to take charge of this program.  SC agreed to take over if and if necessary.  Judie and Lorilee will stay in touch with Bruce.

Saturday Night Entertainment
Geri asked for clarification of her responsibilities for Friday night get together and the Saturday night dinner.   It was noted that it is her responsibility to see that everything that's been planned for those two events are done as planned.  Ideas included an icebreaker (Rosemary has an idea she will share at the next SC meeting), something to stimulate dinner conversation (trivia questions?), background music (Rick’s task?) amongst other surprises that people are researching.
Geri reported she will meet with people at Park Tavern regarding light food options for the Friday Night event.

Events
Leslie reported she has sent out an e-vite for the Fern Hill mini reunion.  It was also noted that an invitation to Brookside’s has been sent as well.

Steering Committee Eighteenth Meeting - March 7, 2011
Minutes from  February 7, 2011 were approved as submitted.
   

Treasury balance is $11,366.13.   Received this month:  four paid reunion registrations and 2 new donations.

Registration

Registration materials are printed.  The costs were higher than original estimate of $700.00.   The SC authorized increasing the budget to $1000.00.  The committee will set up a meeting to stuff and address the envelopes.  An addressed return envelope may be included in the mailing.  Kay will make that determination based on the mailing costs.  

Finance & Budget
Maxine reported that the Minikahda Club has not raised their prices since the original estimate was made.  Those attending will have a choice between a 5oz beef filet, walleye, or a vegetarian meal.  More information about the food choices will be on the website.

Classmate Search
The March stats are:
344 classmates confirmed
49 unconfirmed
85 missing
For a total of 512.  Two names were removed from the master list because we could not identify them as ever being in the class of 1961.  They are:  Dale Hemming and Margaret  Higgins.   If you know of either of these people please contact Rosemary Branch Ritchie ( HYPERLINK "mailto:rritchie403@earthlink.net"rritchie403@earthlink.net).   The committee also reported that there were 117 profiles on our website, 96 have joined Classmates.com, 48 are on Facebook, 36 are on the SLP website, and 27 are on the SLP Facebook site.  With only 6 months before the big event, the Search committee needs all the help they can get to find as many of the still missing classmates as possible.  If you have any information that would help, please send it to Diane Koelfgen Coultas ( HYPERLINK "mailto:dcoulti@optonline.net"dcoulti@optonline.net).  The SC agreed to reimburse Diane for out of pocket expenses she incurred for a subscription to a search directory.

Events 

The website shows a list of events with appropriate pictures and maps to the venue locations.  Leslie Volker will explore sending E-vites to the Fern Hill mini reunion.

Saturday Night Program
There was nothing to report.  We are hoping Bruce will be at the April SC meeting with information on the program.

Saturday Night Entertainment
Geri Hellman Goldberger is committee head and could not attend this meeting.  The committee report was also tabled until the April meeting. 

Old Business

50th Reunion Yearbook/Memory Book
Bonnie Tenhoff Roitenberg represented this committee.  She reported on the discussions she and the other committee members have had with the woman who did the Edina 1960 reunion book.  That book was sold for $35 if purchased in advance by classmates or $40 if purchased at the reunion or later.  200 copies were printer and about 180 have sold.   They also made phone calls to classmates urging them to put their profiles on the website as soon as possible.  It was suggested that the SC do the same for our class.  To be included in the memory book, there must be a profile on the website.   
The SC felt if was important to keep the costs down. The book would be done in black and white – no color - and be spiral backed.  Bonnie and David will set up a meeting with Jerry Shink to discuss costs and deadlines.  The discussion will be picked up again at the April 11 meeting.

Teacher Invitations

At time time there are 15 teachers that will be invited to our reunion dinner.  Judie will be in charge of sending the invitations with Leslie and Mitzi's help.

Steering Committee Seventeenth Meeting - February 7, 2011

Treasury balance is $10,968.33.   It was noted that there will need to be a system for keeping track of registrations and money as they come in either via the website or U.S. Mail.   Rick and Maxine will work together and communicate weekly when registrations begin to come in.

Committee Reports

Communications
The newsletter went out on January 24.  Rick reported that there were 75 hits on the website that day and 75-80 for a couple days after the 24th as compared to 30 on an average day.  

Finance & Budget
As of today our fundraising efforts have generated $17,055 and $4410 for Dollars for Scholars.  One reunion registration and payment has been received. There are 31 RSVPs for Saturday’s dinner on the website

Classmate Search
As of Feb. 3 there are 333 classmates confirmed, 52 unconfirmed, 98 missing, and 42 deceased for a total of 514.  The committee also noted that there are 112 classmate profiles on our website, 96 on classmates.com, 45 on Facebook, 36 on SLP Alumni, and 29 on the SLP Facebook Member site.  It was suggested that the Unconfirmed list be added to the website as the Missing list has been.  It was also suggested that the next newsletter address the website profiles stressing that this information will go in the memory book.  The committee will continue to seek our unconfirmed and missing classmates. 

Saturday Night Program
Judie and Lorilee met with Bruce Humphrys.  They agreed the program would be about 20 minutes.  Judie will be allotted 3-5 minutes for remarks; otherwise the program should be “Fun, Fun, Fun.”  Bruce has ideas for possible acts. 

Saturday Night Entertainment
Leslie reported on invitations for teachers.  A cost to have them done professionally appears to be prohibitive.  SC agreed we could make something nice for little cost.  The invitations should go out shortly after July 4  - about six weeks before the event.   Judie will get the list of teachers invited to the class of ’59 reunion for our next meeting.

Events
David shared his thoughts regarding an additional event.  After much discussion it was suggested that he pursue this event independently and post information on the website’s bulletin board.

Old Business

50th Reunion Yearbook/Memory Book
Rosemary reported that Sue Dunsworth Pugh has recruited Bonnie Tenhoff Roitenberg, Doreen Padilla Hyde and Arlene Haspel Fingerman to help her with the memory book.  Rosemary will ask that Bonnie or Arlene or both be the liaison to the SC.
 
Registration Materials
Kay shared a mock up of the registration flyer that will be mailed to everyone.  SC was impressed.   Rick stressed that the registration form that is mailed back look as much like the form on the web site as possible.  Kay and Rick will work together on that.  Again, classmates are strongly encouraged to actually register on the website but mail in payment.    SC agreed the forms should go out mid – late March.

Mitzi reported on research on nametags.  It appears a labor-intensive process to have graduation pictures and names on each if we are to have nametags done professionally.  Rick commented that all the pictures are already scanned in to the website.  He will try to figure out a way to format them for our nametags which should be 3”x4”.

Steering Committee Sixteenth Meeting - January 10, 2011
Minutes from  December 6 were approved after noting the following clarification to the discussion of Saturday Night Entertainment.  Jay Goetting will pay the two additional musicians.

Committee Reports

Communications
Kay Hutchins reported that the January newsletter is ready to be sent.  It focuses on the Saturday night event.  She asked if there should be any email blasts in the near future.  It was suggested that an email go out just before registration materials to urge classmates to check their mailboxes. 

Finance & Budget
Rick distributed a budget report explaining Fixed Expenses(money we have spent or are committed to spend), Variable Expenses (those that could change) and Revenue (donations received and expected fees for events).  SC went through the report line by line resulting in some changes.  SC decided the Minnetonka boat cruise should be a pay-as-you-go event similar to the golf event.   The amount allocated to teacher dinners was reduced based on number of teachers expected to attend.  The amount allocated to Registration Materials may need to be increased.  Based on this discussion and review of previous discussions the SC unanimously agreed to the following price structure.   The cost for classmates electing to attend any & all events excluding the Saturday night dinner will be $49 with a $5 discount for registering before July 15 and another $5 discount for paying by check rather than on the website, bringing the cost to $39. The cost to attend any & all events including the Saturday night dinner will be $89 with a $5 discount for registering before July 15 and another $5 discount for paying by check rather than on the website, bringing the cost to $79.

Classmate Search
There are currently 330 classmates found and confirmed.

Saturday Night Program
Bruce Humphrys was not at the meeting.  Judie will check with him.


Fundraising
A report from Margo was shared with the SC.  She is suggesting that fundraising efforts be discontinued.  The SC agreed.

Events
A couple of event chairs need to get descriptions to Jane so they can be included in the registration materials.  Rick will put a description of events on the website and ask classmates to indicate interest.


Old Business

50th Reunion Yearbook/Memory Book
Rosemary has recruited Sue Dunsworth Pugh to head up this project.  She will get an assistant.  This will be a pay-as-you-go item.

Registration Materials
SC agreed that the materials should include a strong pitch to register on the website but send a check through the mail.  Judie asked for a mock up of the registration materials by the February meeting.
SC agreed that the Welcome Packet should include a nametag that can be worn at all events – Thursday through Sunday.


New Business
Teacher Invitations
Judie will get a list of teachers invited to the 1959 and 1960 reunions.   Leslie will look into invitations to send to them.

Steering Committee Fifteenth Meeting - December 6, 2010
Minutes from November 9 were approved after noting the following clarification:  The committee coordinating registrations will be responsible for two sets of materials.
The packet that will be sent out to classmates in March – to be called
                  The Registration Packet.
The packet of materials handed out to classmates when they arrive on
      August 25 – to be called The Welcome Packet.
Mitzi Litman will coordinate registration and what is included in each set of materials.

Treasury balance is $11,252.38.   Rick and Leslie were able to resolve their two different numbers regarding money donated to the general fund (not specifically designated to Dollars for Scholars) and this balance reflects this adjustment.

Committee Reports

Communications
Kay Hutchins reported that the November newsletter went out over the Thanksgiving weekend.  It did not generate as many hits on the website as did the one in October – perhaps because of the holiday or because it was the second newsletter and there was less new interest.   There will be no December newsletter.  Work has started on the January issue which will focus on the Saturday night event and include more references to the website.

Finance & Budget
Since Rick was not at the meeting the discussion of items included in the overhead expenses was tabled until January.

Classmate Search
Rosemary reported that calls are still being made.  There are approximately 25 more “confirmed names” and approximately 25 less “missing names.”

Saturday Night Program
Judie reported on an email from Bruce Humphrys.  He will be available in January to meet with us to further develop his concept for the program. 

Saturday Night Entertainment
Geri Hellman asked to be copied any emails regarding the Saturday night activities since she is coordinating the event.  She will not be at meetings in January & February.
Rosemary contacted Kay Moran Elliason and she will pass on information regarding our “mystery guest.”  
It was reported that Jay Goetting and Roger Eckers would be hiring two other musicians to complete their group.  They will pay them as their contribution to the reunion. 

Fundraising
There again was discussion centered on making the reunion affordable for all.  Most favored the two-tier price structure – one cost to include all events including the Saturday dinner and a lower cost to include all events except the Saturday dinner.  There was a suggestion that we make the lower tier fee low enough that most would find it affordable.  Discussion at a future meeting will include an “Early Bird” discount to encourage early registrations.  Input from our “Budget person” (Rick) is needed to resolve this issue.  Judie reminded everyone that the Registration Packet is to go out in March and this issue needs to be resolved before the packet is made up.

Events
Judie distributed communication from Jane Johnson Rollins.  She asked for a brief descriptions of each events (except Friday and Saturday nights) to be included in the Registration Packet.  Due date is January 10.


Old Business
50th Reunion Yearbook/Memory Book
David reported that he has communicated with Jerry Shink regarding feasibility of publishing a yearbook.  Jerry assured David that he has done many such books but would need more information before quoting a cost, (number of pages, number of books, etc). 
So far no one has stepped forward to head up this project.  Rosemary will attempt to recruit someone.  If she is not successful by January, SC will have to discuss the feasibility of the project.

Registration Materials
Mitzi reported that she; Kay Hutchins and Leslie Ptashne met.  The Registration Packet going out in March will include a description of events, sign-up sheets, hotel information and a return-by date.  Jane Johnson will gather this information and forward to Kay and Mitzi.    The Welcome Packet should include a nametag of some sort including a graduation picture + a means of indentifying whether or not the person is attending the Saturday dinner, and a schedule of events.  There was discussion about the type of nametag (around the neck, stick on, pin on).  Mitzi will research what is available for January meeting.




New Business
Judie reported that Georgene Hellman has stepped down from the SC due to personal responsibilities.  She will continue to help Geri with decorations for Saturday night.
She also reported that    Bruce Humphreys sent email saying that the Pep Fest at the high school is scheduled for 2:00-3:30 with many fun events.  He also reported that we can be in the building from 12:00-5:00.
Geri Hellman reported that she could get cakes from Costco that will serve as centerpieces and dessert.  Geri will be gone until March but available by email and would like to receive information regarding Friday and Saturday night events.  Her committee will begin meeting May 1.

A request was made by Bruce Richardson, a member of the SLP school board, SLP Foundation and a founding member of Dollars for Scholars, asking for a contact list of our contributors to Dollars for Scholars.  SC denied this request.

Steering Committee Fourteenth Meeting - November 9, 2010
Treasury balance is $8,774.59. 

Communications
Kay reported on the success of the email newsletter that was sent on October 20.    237 were sent and 229 were successfully delivered.  Kay received many positive responses.  She is now working on the November newsletter that will focus on finding missing classmates.  It was suggested that whenever possible she include tidbits that would lead readers to the website.

Finance & Budget
Rick reported that his calculations show we have approximately $18,000 in overhead (fixed) expenses.  There were several questions regarding these expenses.  Rick will print a list for the December meeting.
There again was much discussion about a one or two tier cost scale. (one price for most events including Saturday dinner and a slightly lower price for most events but not including Saturday dinner.)   The decision will be made early in 2011.  Ann suggested that it might not be the cost that deters people from signing up for the Saturday dinner but the formality of the event.  All agreed that the dress for this event would be “resort casual”.    It was suggested that Kay address this topic in a forthcoming newsletter to reassure people that this is not to be a formal occasion.

Rosemary reported that the November goals for the committee are to locate 90% of our classmates, increase email addresses and to get rid of the Unconfirmed List.   Currently, based on a list of 515 classmates, 305 are confirmed (234 of those with email addresses), 47 are unconfirmed, 38 are deceased and 122 are missing.   At this point the committee feels that in order to locate missing classmates, information is going to have to come to us.  It was suggested that home addresses at time of graduation be added to the website list in hopes that it may trigger a memory which may lead to more information. 
Thank you letters are being sent to everyone who made phone calls on behalf of the Search Committee.
Rosemary also forwarded two requests from Diane Koelfgen-Coultas. -- That SC develop a Timeline of what needs to be done when and that SC members let each other know when they will not be accessible by email or phone for more than a few days at a time.

Saturday Night Program & General Entertainment
Judie reported on an email from Bruce Humphrys.  He asked for specific information on what entertainment is being considered for Saturday night and what time frames might be.  Judie shared what we have discussed with him.  Bruce will be available in January to begin to meet with us to develop his concept for the program on Saturday night. 
Ann will contact Minikahda regarding where the vintage car could be parked for photos.
Rick asked for ideas regarding how the music video could be used.  He currently has about three hours worth of material.

Fundraising
Leslie reported on contributions that have arrived since the mailing went out - $2050 to our general fund and $275 to Dollars for Scholars.  This brings our totals to $13, 876.86 to our general fund and $3800 to Dollars for Scholars. 
Lorilee reported that the fundraising calling committee would continue follow up calls through November.  Members have agreed to take one extra page of names to complete this task ASAP.

Old Business
50th Reunion Yearbook/Memory Book
Judie reported information from Arlene Haspel Fingerman regarding the memory book from our 40th reunion.  The cost of the book was $20/$25.  It was available for purchase at the event.  Arlene remembers that there was a good response that year.  Rosemary shared books from the 50th reunion of the SLP class of 1960 and two Edina classes -1959 and 1960.  The cost of each of these was $40.00.  After discussion, the SC recommended that we offer a book.  David Perlman will talk with Jerry Shink about feasibility and costs.

Teacher Invitations
Rosemary reported that the class of 1960 invited 19 teachers - three attended (1 with a spouce).  SC agreed we should invite as many teachers as we could locate.  Their dinners will be covered by the class funds unless someone volunteers to underwrite a dinner for a specific teacher or possibly all of the attending teachers.

Party Favors
Lorilee reported that she has found information including costs for party favor items if we want to pursue.   The SC generally felt party favors was an unnecessary expense.  No final decision was made at this time. 

New Business
Door Prizes
After a brief discussion SC decided not to have door prizes.

Registration Materials
There will be two sets of registration materials.
The first is an informational packet that will be mailed to classmates.  Included in this packet will be the registration form and descriptions of specific events.  This will shoe who is in charge of each event, their contact information, and costs involved.  It was agreed that a paper registration would give classmates the option of registering on line or via US Mail.  Kay will head up preparing this material.  On line registrations would have to have add 6.5% to the fee to cover the cost of processing via credit card.  Dates for completing or canceling reservations need to be determined.   
The second set of materials will be handed out when classmates arrive for sign-in at the Marriott.    Mitzi,  Leslie,  and Kay will meet to begin planning for this phase.

Steering Committee Thirteenth Meeting - October 11, 2010
Committee Reports

Fundraising
Leslie reported that $1,575 (a total of 11 donations) has come in since the mailing went out in September. 
Lorilee reported that her committee of five is making calls to follow up.   She asked for others to join the committee because there are a large number of calls to make. Anyone?? When making these calls, the committee emphasizes the first goal of our fundraising efforts is to make the costs of all events affordable for all classmates. 

Events
Memorial Event
SC reassured Lorilee that this was an important thing to do and that she should forge ahead.   Lorilee reported on her efforts to find a location for an informal evening event included visits to both Oak Hill Park and Wolfe Park.  Oak Hill Park appears to be the only option for an evening event with a bonfire.  Wolfe Park has an amphitheater making a good option for a daytime event.   After further discussion, the SC felt that keeping the event scheduled before the Saturday morning breakfast at Wolfe Park.  The amphitheater is the most appropriate place to hold it.   Lorilee’s committee plans to put together a “memorial picture board” that will be at as many events as possible.
Fern Hill mini reunion will be held at 4:00 on Friday so that classmates can attend the event at the Park Tavern in the evening.

Communications
Kay Hutchins McCarthy reported that the next all-classmate communication would be the first of what is planned to be a monthly e-mail newsletter.   These newsletters will be short and catchy - perhaps three articles each.  Our musical themes will be a part of them as well.  The first one will focus on “Searchin’” for classmates.  Other components will be some kind of trivia and an advice column (“Dear Peggy Sue.”).   It was suggested that there be an obvious link to our web site on this email as well.

Saturday Night Program
Judie will contact Bruce to see where he is on this project.

Saturday Night Event
Geri Hellman Goldberger reported that her committee will begin meeting in May to organize and coordinate decorations, music, cakes, programs, etc for the evening.  Georgean Hellman Swartz shared early plans for tables and centerpieces, which the SC endorsed.

Old Business
Response from the first Mailing – Leslie reported that she is forwarding new addresses to Diane Koelfgen Coultas as they come to her.  She also reported that only about 25 mailings have been returned as “not deliverable.” 

50th Reunion Yearbook/Memory Book Judie shared the memory book from the class of 1960 (via Rosemary).  This generated much discussion of the pros and cons of doing such a book.   Comments on the Pro side revolved around it being fun to reminisce and to help communicate with classmates.  Comments on the Con side revolved around the huge job it would be to put together, who would do it, and the cost involved.  Questions came up regarding the book that was done for our 40th reunion.  Judie will talk with Arlene to get  background on that project (i.e., who did it? what was the cost? how many were sold?)  This topic will be discussed again at the November meeting. 

Leslie showed the SC a wine glass that was used as a “party favor” for Southwest H.S. reunion.  This led to a discussion of other possibilities for that kind of thing.  Jane and Geri both mentioned they had sources if we want to pursue.   Decision was tabled.

New Business
Inviting Teachers Judie reminded the SC that several people at the 40th reunion requested that we invite teachers to be our guests at our next reunion.  This led to several questions i.e., How do we find them?  Should invitations be written or phoned?  Should they be invited to the Saturday or Friday night event?  How many guests can we afford?  Judie will try to get a list of teachers invited to the Class of ‘59’s reunion.  Decision tabled.
